Responsibilities
About the Role:
We are seeking a highly skilled and experienced Manager of Collaboration to lead our team and oversee our collaboration tools and technologies. This role is not just about maintaining our existing systems; it's about defining what "best-in-class" collaboration looks like for our organization and driving us toward that vision. You will lead our internal team of collaboration engineers and oversee our third-party support provider. Your role is to manage this vendor relationship, ensuring they meet our high standards for service delivery and user satisfaction.
Key Responsibilities:
- Strategy and Leadership: Develop and execute a strategic roadmap for our collaboration technology stack, aligning with business goals and future growth. Lead, mentor, and manage a team of internal collaboration engineers and specialists. Stay current with emerging trends and technologies in the collaboration space, evaluating and recommending new solutions.
- Defining and Delivering Best-in-Class Collaboration: Act as the primary champion for a "best-in-class" collaboration strategy, focusing on user experience, security, and productivity. Develop and implement governance policies and a "right tool for the job" framework to guide employees on when to use email, instant messaging, or video conferencing. Proactively identify and implement features within our existing tools (Google Workspace, Zoom, MS Exchange) to maximize their value and enhance team efficiency. Foster a culture of effective communication and collaboration, working with stakeholders to optimize workflows and reduce communication overload.
- Vendor and Service Delivery Management: Serve as the primary point of contact and accountability for our outsourced support provider. Define, monitor, and report on key performance indicators (KPIs) and service level agreements (SLAs) to ensure the vendor meets performance targets. Conduct regular business reviews with the vendor to assess performance, identify areas for improvement, and ensure alignment with our strategic goals. Act as the escalation point for major issues and work closely with the vendor to ensure timely and effective resolution.
- Security & Governance: Partner with our internal security team to manage and enforce security policies across all collaboration platforms. Oversee email security, data governance, and user access controls to protect sensitive information.
- Platform Management: Administer and manage our Google Workspace environment, including Gmail, Calendar, Drive, and Meet. Oversee the deployment, configuration, and maintenance of our Zoom platform for meetings, webinars, and room systems. Manage and support our on-premises Microsoft Exchange servers, ensuring high availability and seamless integration with other systems. Maintain and support our conference room technologies, including Logitech kits, Chromeboxes, and Q-Sys audio/video solutions.
- User Experience and Training: Develop and deliver training programs and documentation to empower users to effectively use collaboration tools. Gather user feedback to identify areas for improvement and work with the outsourced provider to address gaps and drive a better user experience.
- Project Management: Lead collaboration-related projects, from initial planning and requirements gathering to implementation and post-deployment support. Manage budgets and resources for the collaboration team and related projects.
The ideal candidate will have:
- 5+ years of experience in managing collaboration technologies in an enterprise environment.
- Proven experience in vendor management, including negotiating contracts and managing service delivery.
- Strong knowledge of Google Workspace administration and management.
- Strong knowledge of Zoom administration, including Zoom Rooms and API integrations.
- Experience with Microsoft Exchange Server administration and hybrid environments.
- Solid understanding of conference room technologies, including A/V systems, video conferencing hardware (Logitech, Chromeboxes), and audio processing platforms (Q-Sys).
- Excellent leadership, communication, and interpersonal skills.
- Ability to work effectively in a fast-paced, dynamic environment.
- Relevant certifications (e.g., Google Workspace Administrator, Zoom Certified Professional) are a plus.
Requirements
Education:
- High School diploma equivalency with 3 years of cumulative experience OR Associate's
degree/Bachelor's degree with 2 years of cumulative experience OR 7 years of applicable cumulative job specific experience required. - 3 years of leadership or management experience preferred.
