Job Summary

The Quality Document Coordinator is responsible for providing administrative support for the daily operations of the Quality Department as well as maintaining Quality documentation. In addition to the following, this includes many tasks assigned by the Director of Quality.

Essential Functions

  • Actively supports the Company’s commitment to safety and its “Core Values.”
  • Represents the Company at all times with high moral standards while adhering to the Company’s “Code of Business Conduct and Ethics.”
  • Provides general administrative support to the Quality team including the preparation of memos, reports, and other correspondence.
  • Organizes, schedules, and prepares materials for the Quality team and Executive level meetings.
  • Arranges travel reservations, prepares itineraries, and keeps calendars updated.
  • Maintains and executes the Welder Database, including Welder Continuity & Inspection Logs.
  • Maintains ASME & National Board Stamp usage logs.
  • Interacts and gathers information from functional teams to develop Management System level Quality Documents, including, but not limited to templates, forms, procedures, etc.
  • Maintains the internal audit schedule and documents the execution of internal audits for the Quality D Prepares for and assists with customer audits.
  • Provides support during internal audits, certification audits, and management reviews.
  • Participates in continuous improvement projects. Maintains quality management system records, files, and databases in a neat and orderly fashion and in compliance with the document management system and applicable standards.
  • Supports quality activities by receiving and maintaining quality records.
  • Analyzes Quality and/or other data for trends and issue reports, as needed.
  • Prepares and maintains miscellaneous documentation as required.
  • Assists the Director of Quality as requested.
  • Performs other tasks as assigned.

Job Qualifications

  • 3+ years administrative support experience with a strong working knowledge of general office procedures.
  • Previous experience supporting Quality audits and documentation preferred.
  • Excellent computer skills, including proficiency with MS Word, Excel, Access, PowerPoint, and Outlook.
  • Strong organizational skills; detail-orientation and a sense of urgency for completing assignments.
  • Excellent communication and interpersonal skills; must be courteous, professional, and diplomatic in dealing with internal and external contacts.
  • Excellent time management skills, with the ability to prioritize work and manage multiple projects with conflicting deadlines.
  • Ability to work well under pressure and maintain a positive, professional demeanor.
  • Ability to maintain confidentiality.
