TEMPORARY FULL-TIME ADMINISTRATIVE SUPPORT SPECIALIST Pay Range: $16.00–$18.00 per hour
Schedule: Monday–Friday, generally 8:00 a.m.–5:00 p.m.
Reports To: Executive Director or Designee
Position Status: Temporary; this position is not anticipated to transition into permanent employment.THE ROLEOur client is looking for a dependable, organized person to temporarily join our team and provide full-time administrative and office support.At its core, this is a desk-based administrative position. A significant part of the workday will be spent answering phones, entering information, organizing records, preparing documents, maintaining files, and helping our team stay caught up and organized.The position will also provide project support across the organization, including records cleanup, database and file organization, research, basic data review, meeting and event support, and occasional assistance with other departmentsThe strongest candidate will take pride in being the steady, reliable presence in the office, someone who gets the details right, follows through, and can be counted on when other staff members are in meetings, at events, or working throughout the community. - Be in the office and ready to work at 8:00 a.m. each workday.
- Work a full-time, Monday–Friday schedule.
- Consistently work from 3:00–5:00 p.m. on Fridays.
- Provide dependable phone and visitor coverage when other team members are away from the office.
- Occasionally assist with events or activities that may require minor adjustments to the normal workday.
WHAT YOU’LL DOHelp Keep the Office Running
- Serve as the primary person answering incoming phone calls and routing questions appropriately.
- Welcome visitors and provide friendly, professional assistance.
- Provide consistent front-office coverage throughout the workday.
- Receive, sort, scan, file, and distribute mail and documents.
- Help maintain an organized, professional, and well-functioning office environment.
- Assist with data entry, spreadsheets, databases, contact lists, and routine recordkeeping.
- Prepare, copy, scan, print, assemble, organize, and distribute documents and meeting materials.
- Maintain physical and digital files, including filing, archiving, records cleanup, and consistent file organization.
- Help identify duplicate, outdated, missing, or improperly filed records.
- Assist with calendars, scheduling, meeting arrangements, correspondence, reservations, and general office coordination.
- Perform basic research and gather information as requested.
- Assist with office supply management, routine purchasing, and occasional errands.
- Assist with meeting preparation, agendas, packets, sign-in materials, and other administrative needs.
- Support events, programs, ribbon cuttings, and community activities through preparation, registration, materials, setup, and teardown.
- Assist with basic communications or informational materials as requested.
- Complete special projects and other administrative assignments based on current team needs.
- Perform other duties as assigned.
- Is exceptionally reliable and punctual.
- Is comfortable spending most of the workday at a desk completing administrative tasks.
- Can stay focused and accurate, even when work is routine or repetitive.
- Communicates professionally and warmly by phone, email, and in person.
- Is organized and pays close attention to details.
- Can work independently, follow instructions, and complete assignments.
- Is comfortable shifting between routine work and occasional urgent requests.
- Uses good judgment and knows when to ask questions.
- Maintains confidentiality.
- Is willing to help wherever reasonably needed.
- Understands that dependable office coverage is one of the most important parts of this role.
